When is the best time to reserve the space?
Contact the Holiday Inn & Suites Idaho Falls Sales Office at 208.227.9800 x 4 or sales@inntrusted.com as soon as you know your date(s) and estimated attendance.
When is the last day to make changes to my contract?
Food selections, meeting room set up, AV needs and all other arrangements must be received by the sales office no later than 5:00 PM seven (7) days prior to the first event date. Changes made on the day of the event are subject to a $250 fee.
When is my final count on catering due?
The final count is due in writing no later than 5:00 PM four (4) business days prior to the first event date. If the count is not received, the organizer will be held responsible for the original count on the contract.
What happens if my actual attendance is different than the final count submitted?
If the actual attendance is lower than the final count, the organizer is responsible for the final count. If more people attend, The Hotel will make every effort to feed everyone. In some instances, the original menu may be impossible to duplicate, and substitutions will be made. The Hotel will take a physical count of the attendees and the organizer will be charged that number, unless the guaranteed number is higher.
Is there a discount on the room rental if I purchase catering?
A discounted room rental will be applied when 3x the original rental is purchased in catering in a single day.
Are there any fees or taxes?
All food and beverage (including a hosted porta-bar) has a 18% service fee. The room rental has a 5% auditorium tax and Idaho State Sales Tax is on all items. Tax exempt entities are subject to the service fee.
Will I be required to pay a deposit.
A valid credit card authorization through Sertifi is required at the time of the signed contract. In addition, the hotel may require a non-refundable 25% deposit which will be applied to the final bill.
Can I bring in my own catering?
No outside catering is allowed. The hotel will make every effort to customize a menu when given enough time and budget. Exceptions are made for specialty items such as cakes, cupcakes and custom cookies. Take a moment to review our catering options today!
Can I bring in my own audio-visual equipment?
No outside AV is allowed. Exemptions are made for professional, pre-approved DJs.
What is the cancellation policy?
The space can be cancelled at no penalty 120 days prior to the first event. Within 120 days a fee structure will be implemented as determined on the contract.
Can I reserve hotel rooms for my attendees?
Yes! The hotel can set up a block of rooms to be reserved and paid for by the attendees or by the organizer.
Is there enough parking for my guests?
There is ample complimentary self-parking available and there is also a loading zone along the conference center doors.
Can my attendees access the pool or fitness center?
No, the pool, hot tub and fitness center is for registered guests only. No exemptions.
Are there restrooms in the conference center?
Yes, at the end of the Pre-Function hallway is a set of restrooms.
